RFID asset tracking: know where every fixed asset is
Tag laptops, machines, tools and equipment once, then audit a whole floor by walking through it. Missing, moved and ghost assets show up the same day.
What is RFID asset tracking?
RFID asset tracking gives each fixed asset a UHF RFID tag linked to its record in the asset register: ID, category, location, owner and condition. A handheld reader reads every tag in a room from several meters away, so an auditor confirms each asset without finding and scanning its label one by one.
Fixed readers at doors or gates can also record when assets leave an area. The register stays current, audits take hours instead of days, and ghost assets (on the books but no longer on site) are found and written off properly.
Manual asset audit vs RFID asset tracking
| Manual or barcode audit | RFID asset tracking | |
|---|---|---|
| Confirming one asset | Find it, turn it over, scan or read the label | Read from several meters, no handling |
| Auditing a floor or site | Days of work | Hours |
| Ghost and missing assets | Found late, often at year end | Listed right after each audit |
| Moves between rooms or branches | Depend on someone updating a spreadsheet | Seen at the next scan or gate read |
| Audit trail | Paper or spreadsheet | Time, place and user for every read |
How RFID asset tracking works
- 01
Tag and register
Attach tags suited to each surface (metal, plastic, outdoor) and link each tag to its asset record, or import your existing register.
- 02
Audit by walking
Auditors walk each room or area with a handheld reader. Every tagged asset in range is confirmed in seconds.
- 03
Watch movement
Optional fixed readers at doors, gates or loading areas record assets going in or out, with an alert for unexpected moves.
- 04
Report and sync
Audit results, missing assets and location changes are reported and synced to your ERP or accounting system.
What you need
RFID asset tags
On metal tags for machines and IT equipment, durable labels for furniture and tools, and tags that break if someone peels them off.
Handheld readers
For audits, and for finding one specific asset quickly.
Fixed readers (optional)
At doors and gates, to log movement without anyone scanning.
Asset software and integration
Asset register, audit sessions, history and reports, synced to Odoo, or to other ERP and accounting systems through an API or file exchange.
RFID asset tracking questions
What is a ghost asset?
An asset that is still on the books but no longer physically there: lost, scrapped or moved without a record. Regular RFID audits find them, so the asset register and financial reports stay accurate.
Can RFID tags be used on metal equipment?
Yes, with on metal tags made for metal surfaces. Ordinary labels read poorly on metal, so choosing tags is part of the site survey.
Do RFID tags need batteries?
No. Passive UHF RFID tags have no battery. They draw power from the reader's signal, so they last for years.
Can RFID show exactly where an asset is?
A handheld audit confirms which room or area an asset is in, and fixed readers log movement through doors and gates. For room level location this is usually enough; an exact position inside a room needs additional infrastructure.
How long does an RFID asset tracking rollout take?
Most rollouts go live in 3 to 5 weeks. Tagging time depends on the number of assets and sites.
