Why Choosing the Right Vendor Is Critical
Indonesia's RFID market is growing fast. Dozens of new vendors have emerged, from hardware importers with no local technical support to experienced integrators with proven workflows.
The problem: from the outside, they all look the same, with professional websites, technical brochures, and impressive performance promises. But in the field, the gap is enormous: it can be the difference between a successful implementation and a failed project that wastes months of effort.
This article gives you 5 objective criteria for evaluating RFID vendors in Indonesia, plus 7 red flags to watch out for.
Criterion 1: Real Deployments in Indonesia, Not Just Lab Demos
Many vendors can show impressive RFID demos in their office. What sets a trustworthy vendor apart is a track record of real deployments with clients in your industry.
Questions to ask:
- "Do you have customer references in our industry we can contact?"
- "How long have those clients been using your system?"
- "What was the biggest implementation challenge, and how was it resolved?"
Tip: Ask for examples that match your own workflow, whether that is timber processing, jewelry retail, or a warehouse connected to an ERP, and check how long those systems have been running.
Criterion 2: Local Technical Support, Fast Response, in Indonesian
An RFID system that runs 24/7 needs reliable technical support. Issues can arise at any time: an antenna knocked out of place by a forklift, tags not reading on a new material, or a server restart after a power outage.
| Criterion | Minimum Standard | Trusted Vendor |
|---|---|---|
| Response time | Confirmed before engagement | Agreed in a written SLA |
| Support language | Indonesian available | Native Indonesian speakers |
| Support mode | Email + onsite | |
| Written SLA | None | Included in contract |
Key question: "If the system goes down at 8 AM on a Monday, when can your technical team be onsite?"
Criterion 3: Software Integration, So Data Flows Automatically
RFID is most powerful when scan data flows directly into your systems, with stock updated automatically in Odoo, SAP, or Accurate. Without integration, you still need manual data entry, which wipes out most of RFID's value.
Key questions:
- "Which ERP and WMS systems do you integrate with?"
- "Is a REST API available for custom integrations?"
- "Is Odoo or SAP integration included, or is it an additional cost?"
Red flag: Vendors who sell hardware and software but outsource integration to a third party outside the contract scope.
Criterion 4: Hardware Quality, Not Just "UHF RFID"
Tag, antenna, item material, and layout can all affect read rate and range. Test tag and reader combinations with actual items in the intended environment before choosing equipment.
Evaluate hardware on:
- Reader brand: Impinj, Zebra, and Chainway are brands with proven track records
- Tag chip: Impinj Monza and NXP UCODE are industry standards; imitation chips (sold locally as "KW") are cheaper but have inconsistent read rates
- Hardware warranty: At least 1 year, with a clear RMA process
- Local stock: Hardware that must be imported with 4 to 8 week lead times becomes a problem when something fails suddenly
Criterion 5: Full Cost Transparency and a Clear Commercial Model
RFID costs often end up higher than initial estimates because of hidden fees: integration costs, configuration fees, per-session training charges, technical visit fees, and opaque hardware markups.
| Component | Question to Ask |
|---|---|
| Software license | Per user, or a flat fee per location? |
| Hardware | Is the markup on hardware disclosed? |
| Implementation | How many onsite days, and what's included? |
| Training | How many sessions, for how many people? |
| Annual support | What does maintenance cost in years 2 and 3? |
| ERP integration | Included in the package or a separate fee? |
Red flag: Vendors who give a single "all-in" quote without a breakdown by component. After signing, extra costs start to appear.
7 RFID Vendor Red Flags to Avoid
- Can't show the system working anywhere: No live test on your items, no walkthrough of a running deployment, and no reference call arranged with a client's permission
- Demos only in a lab: Never shows an implementation in a real warehouse under industrial conditions
- Unbranded hardware without technical documentation: Usually imitation chips with inconsistent read rates
- No written SLA: Verbal support promises are not legally binding
- All technical work subcontracted: Slow response times and low accountability
- Prices far below market: A supposedly genuine Impinj based reader offered far below the typical market price is likely a clone or a refurbished unit
- No pilot project option: Vendors who are confident in their product offer a pilot before full commitment
Checklist: 10 Questions Before Choosing a Vendor
Use this checklist when evaluating vendors:
- How many customer references do you have in our industry?
- Can we contact 2 to 3 reference clients for verification?
- Do you have an in-house technical team in Indonesia?
- What is your SLA response time for critical issues?
- Which ERP/WMS integrations are already running at your reference clients?
- Is a REST API available, with complete documentation?
- What hardware brand do you use, and what is the warranty period?
- Is a pilot project available before full contract commitment?
- What is included in the package: hardware, software, installation, training?
- What are the maintenance costs in year 2 and year 3?
Why Katalyst Meets All 5 Criteria
Workflow coverage: Stock audits for timber processing, item counts for jewelry retail, and inventory updates connected to Odoo.
Technical support: Remote assistance and onsite visits as needed.
Integration: Odoo ERP connectivity, REST API, and webhook requirements are assessed against the system configuration and project scope.
Hardware selection: Readers and tags are selected for the operating requirements; availability and warranty terms are confirmed in the proposal.
Transparent scoping: A scope review with a clear breakdown by component, and a pilot option.
